The rationale.
The Outbound-to-Demo Stack is built for velocity — fast cycles, high call volume, Close's dialler front-and-centre. This stack is built for structure. Pipedrive's visual drag-and-drop pipeline makes deal stage instantly legible to founders and sales managers — you can see every deal's position and its last activity in one view, without opening each record. Apollo finds and sequences the contacts; Storylane converts cold interest into a qualified demo by letting prospects explore the product before the first call; Pipedrive tracks the multi-touch progression through to verbal agreement; PandaDoc sends the proposal and closes with e-sign. The fit is teams with 1–4 week sales cycles, two or more stakeholders per deal, or a mix of inbound and outbound where pipeline health matters more than raw calling volume.
The handoffs.
In your Apollo email sequence, include a Storylane interactive demo link as the step-2 or step-3 touchpoint — after the opening email has established relevance. Storylane generates a unique shareable link per demo; paste it as a tracked link in Apollo's sequence editor. Apollo records click-through; Storylane records engagement depth.
When a prospect engages with the Storylane demo (Storylane fires a webhook on completion), trigger a Zapier automation that creates a new Deal in Pipedrive with the prospect's name, email, and demo-completion timestamp as a note. The deal opens in your first stage automatically — no manual entry.
From any Pipedrive Deal record, use the PandaDoc native integration (installed from the Pipedrive Marketplace) to create a proposal in one click. Contact name, company, and deal value pre-populate from the Pipedrive record — no copy-pasting. The signed document syncs back to the Deal as an attachment.
Where tools overlap.
Where AI speeds this up.
Use AI to write personalised Apollo sequence variants per ICP segment — a 5-sentence opening email from a prompt takes seconds and outperforms generic templates. In Pipedrive, AI note-taking (via MeetGeek or native AI features) can summarise discovery calls and write them to the Deal record automatically. PandaDoc's AI can draft proposal sections from a brief — cut proposal writing time from 30 minutes to 10.
What to watch for.
- Pipedrive's Essential plan has limited automation. Automations — including the Storylane-to-Deal Zapier step — work correctly, but native workflow automations within Pipedrive require the Advanced plan ($29/seat/mo). Budget for Advanced if you want internal pipeline automations alongside the Zapier integration.
- The PandaDoc native Pipedrive integration is available on PandaDoc Essentials and above. Verify the integration is included in your plan before building the workflow — some integrations are tier-gated.
- Apollo's Basic plan limits monthly email sends. For teams running high-volume sequences across multiple ICPs, verify your monthly send allowance against your prospecting cadence before choosing the tier.
- Pipedrive is a pipeline manager, not a dialler. If your outbound motion is call-heavy (50+ calls per week per rep), Close's built-in VoIP calling will make your team more efficient than Pipedrive + a separate dialler add-on.
